What is an email alias and when should you use one?

An alias is an additional address that delivers into an existing mailbox. There is no separate password, no separate storage and nothing extra to check: mail sent to info@yourcompany.com simply lands in the inbox you already read.

What aliases are good for

Role addresses. info@, support@, sales@, billing@ present a professional face and, crucially, are not tied to a person. When someone leaves, you point the alias at a colleague and nothing else changes.

Sign-up hygiene. Use a distinct alias for each service you register with. If one starts receiving spam, you know exactly who leaked or sold your address — and you can switch that alias off without touching your real one.

Departures. Keep a former employee's address alive as an alias to a colleague for a year. Customers use old addresses for a long time.

Separation. Personal, shopping, newsletters and public listings can each have their own address while everything still arrives in one place.

Alias versus a separate mailbox

An alias has no storage, no password and no independent login — it is a delivery rule. A mailbox is an account of its own with its own quota and credentials. The rule of thumb: if a person needs their own inbox, calendar and password, create a mailbox. If you only need another address that lands somewhere existing, create an alias. Because an alias can be disabled without affecting the mailbox, it is the cleanest way to contain a spam problem at its source. If newsletter-signup@yourdomain.com starts attracting bulk mail, retire it. Combined with filters — for example, routing everything addressed to support@ into a Support folder — aliases keep a shared mailbox organised without extra accounts.
