What is business email and why does @yourcompany.com matter?

Business email means using addresses at your own domain — name@yourcompany.com — instead of a free personal account. The difference sounds cosmetic. In practice it changes three things that matter to any organisation: how much customers trust you, who controls the account, and what happens when someone leaves.

Why the address itself matters

sales@yourcompany.com tells a recipient the message comes from a real, established business. yourcompany2024@gmail.com tells them nothing verifiable — anyone can create it in two minutes. Since a first email is often a first impression, the address is part of your brand in the same way your logo is.

Control and continuity

With a personal free account, the mailbox belongs to the employee who created it. With business email, it belongs to the company:

• Central administration. An administrator creates, suspends or reassigns mailboxes.
• Continuity. When someone leaves, the address stays with the company and can be handed to a colleague.
• Role addresses. info@, support@, billing@ survive staff changes because they are not tied to a person.
• Policy. Password rules, two-factor authentication and sending limits apply consistently.

What to look for in a provider

• Storage per mailbox, not just a headline total.
• Number of mailboxes and aliases included, and what extra ones cost.
• Authentication support — SPF, DKIM and DMARC should be set up for you, or at least documented clearly.
• Migration tools, so existing mail comes across without manual exporting.
• Standards support. IMAP and SMTP mean you are never locked in; you can move again if you need to.
• Data location and privacy terms. Where mail is stored and under which law can matter to your customers and your own compliance work.
• Support. When mail stops flowing, response time is the only feature that counts.

Free personal email is fine for everyday correspondence. For a company, three differences stand out. First, the address: name@yourcompany.com reads as far more credible. Second, management: mailboxes, passwords and forwarding are handled centrally rather than by each individual. Third, continuity: correspondence stays with the business even after people move on.

Setting up business email is a smaller job than most people expect. You need a domain name, a provider, and a few DNS records — usually MX plus the authentication records.
